Integration Details

The integration between Insynctive and ADP Workforce Now provides a single source for key data elements that are shared between HR and payroll. Changes can be synchronized immediately at the time a change is made, or done in batch, where synchronization is set to happen once every 24 hours at a specified time.

Role Based access to manage the corporation, groups, locations, set-up checklists, run reports, manage eEnvelopes, benefits administration, and much more. Complete solution for employee management. Includes administrative role based access to employee profiles. Employee profiles show the administrator all tasks, checklists that have been assigned to the employee, all information about jobs and pay, access to documents, life events management, and audit/ historical events. HRIS can receive input from payroll systems, ATS, or specifically formatted spreadsheets. Easy to upload data about employees, dependents, and job information. Employee profiles shows them Notifications as employees move from full time to part-time and from part-time to full time.

Document Automation and Management

Insynctive has an Document Automation and Management plus Workflow solution for the Pre-hire, Onboarding, Task Management, and Termination processes that can take all businesses forms, documents and processes and internalize them in our Insynctive Full Service Solution. We can create Tasks around each of these documents and put them together in an infinite number of combinations to better assist the Administrator in delivering the companies messaging, and doing things in a manner that is unique to each employer can corporations. We call these checklists. They can be assigned to an individual or a group of individuals. This reduces time, eliminates bad data, and improves employee morale. As the employee goes through the system they verify and validate data about themselves and their dependents. This information is stored in the HR system, populates additional forms and all documents can be routed to 2 others for their review and/ or signatures depending on how the system is set up. Copies of the forms remain in the employee Documents section of the employee profile and are accessible by both employee and Administrator depending on their role in the company.

Pre-hire Solution

  • The Insynctive Pre-Hire solution is a Checklist that starts with uploading and preparing all documents for hiring a new or returning employee. Offer letter, background check authorization forms, NDAs and more can all be pre-populated and formed into a checklist that is named based on that job type. The workflow can send the checklist to the hiring manager for filling in and completion of spaces. The prospective hire is notified to login and can see the list of documents to complete. They can ask question via our CRM, chat messaging system, and use our eSignature solution. Then there is a countersignature and other task reminders are put in place to drive other onboarding checklists and provisioning. solutions.

Onboarding solution

  • Every company has an I-9 and W-4 but our solution not only pre-populates these forms but can also tie together numerous other forms, employee handbooks and training videos, state based forms and unique forms per office, etc. There can be checklists for a first time user, a new hire, task management, and terminations. There can also be checklists for administrators to make sure nothing falls through the cracks. Checklists can be assigned to an individual or a group of individuals.

Provisioning

  • Our checklists can be established to remind and drive the administrators and other team members to set-up employees for emails, and other internal systems that the corporation uses.

Document management

Insynctive comes with a forms library with standard forms like the federal I-9, federal W-4, and state tax forms, as well as benefit enrollment forms from the major medical and insurance carriers. Documents and forms that are unique to a company can be configured in minutes to support filling (employee enters in information), pre-filling (the system conveniently pre-fills already-known information) and electronic signatures (including workflows for two or more signatories to a document). Once routed and completed, documents are then automatically attached to the employee's record and searchable. Access control can be applied so that any given document can only be accessed by those who have been granted permission.

Tasks, Checklists, Workflows, and Notifications

Insynctive workflows are built using checklist templates. Checklists are a series of tasks and processes that can be rapidly built in any combination and assigned to an employee or a group of employees. They can be used to support documents requiring signatures from multiple people, and include service providers, such as HR outsourcers and benefit brokers. Administrators can monitor progress via dashboards, and be notified during any point in the process, such as when someone signs a particular document or upon completion of the entire checklist. The notion of predecessor and successor tasks are supported, so that when one task is completed (e.g. update personal information), another task is assigned (fill and sign a state W4, with fields pre-filled based on the updated personal information).

Benefits Administration management

The Insynctive benefits administration solution is a highly configurable benefit communications, election, enrollment, and transaction system. Insynctive Benefits Administration solution can emulate any small group and large group benefit package, contribution schemas, waiting periods and other uniquenesses per business or corporation. This also includes the ability to house and bring up multiple carriers, plans and rate libraries, with ACA age banded rates for the major small group medical carriers, 3, 4 and 5 tier rates for large group carriers, and age rated plans from group and voluntary plans.. Insynctive has focused on supporting the needs of small groups where carriers require the submission of PDF enrollment forms. These forms are set up to be mapped and pre-filled so that employees can get through the process with greater accuracy and speed. They are sent via electronic envelopes for secure transmission to the carriers. A forms library is available of applications and forms that are pre-populated by the system based on the information we have collected through various processes..For large groups the carriers will get either EDI or spreadsheets based on what they can handle. Insynctive wants to help them move to an API solution set that is more real time data exchange.

Electronic signatures and pre-filling online documents

Insynctive frees employees from the tedium of entering the same redundant information over and over again for different forms, such as those used during onboarding or during enrolling for benefits. Documents get pre-filled with information that is already known by the system from prior entries by HR or the employee, and get electronically signed with a single click. Insynctive's online document handling and electronic signature capabilities were built specifically for streamlining HR and benefits enrollment processes.

Built-in online help desk module

Insynctive includes a built-in help desk module that allows employees to ask questions or make requests. When an employee submits a question via online chat or email, this creates a case just like any CRM system, which can be tracked, assigned, and if necessary, re-routed to the person with the right expertise. Once closed, cases are archived for future reference or re-opening.
